About the Job

The Chief of Staff is the glue that holds Procurated together. It’s equal parts project manager, morale booster and thought partner to the CEO and department heads of the business. The CoS ensures that nothing falls through the cracks and that the trains run smoothly. They work behind the scenes to make sure that everyone in the company can do the best work of their careers and feels supported in doing it.

The CoS will be a force-multiplier at the heart of the company. Among its most important responsibilities is project-managing the review collection process, ensuring an always growing stream of reviews. As an operational thinker, you will have an eye towards scalability and optimization and identify opportunities to take our operations to the next level.  In addition, you’ll be a key player in supporting all departments within the company and accelerating our processes. We are looking for an individual interested in a fast-paced start-up environment who is interested in supporting operations, review-collection campaigns, project-based research, and administrative functions.

Lastly, you will support the CEO in ensuring that Procurated sustains its award-winning culture. We were recently recognized by Comparably as a top 100 company in the United States for culture. Maintaining a vibrant and cohesive culture will be a focal point of your work.

Roles and Responsibilities:

  • Operations:
    • Work with the leadership team to develop our quarterly goals, which we call OKRs, and then manage our progress towards achieving those goals throughout the quarter.
    • Manage our vendor relationships and SAAS offerings in coordination with our VP of Finance. Own license distribution.
    • Oversee Procurated support inboxes and approval queues.
    • Maintain company holiday and all-hands meeting calendars, assist in preparatory work.
    • Manage new hire onboarding and employee off-boarding process.
    • Manage Board communication and scheduling and meeting preparation logistics.
    • Recruit and manage 1-2 interns at any given time.
    • Plan the annual company retreat and employee gatherings.
  • Review-Collection Campaigns:
    • Coordinate with all internal teams to develop and project manage review gathering strategies that see performance feedback scaled across our partners and clients.
    • Manage our relationship and prioritization with our third-party phone review collector and monitor performance, conversion, and cost metrics.
    • Coordinate with data team on acquiring contact information and ensuring review opportunities are generated and of high data quality.
  • Community Engagement:
    • Maintain and manage Procurated swag and conference preparations in coordination with our engagement teams.
    • Maintain and prepare conference materials.
  • CRM Management:
    • Develop and maintain Hubspot workflows and properties.

About You:

  • You are Washington, DC area based and excited to come to the office at least twice/week.
  • You have at least two years of professional experience
  • You are a problem solver who loves getting your hands dirty
  • You’re unafraid to advocate for your out of the box ideas
  • You have experience with project management.
  • You have excellent written and verbal communication skills.
  • You have strong Microsoft Office skills.
  • You have experience with a CRM, preferably Hubspot, or are committed to learning the ins and outs of it.
  • You enjoy a fast-paced environment where your work can have a substantial impact.
  • You are comfortable being self-taught and enjoy learning new skills.

What is the hiring process?
