Canary Implementation Guide

1. Overview 

This document outlines the standard process Procurated uses to onboard and implement Canary for customers. The typical implementation timeline spans approximately 8-12 weeks from data being received by Procurated to full roll out of the software and reviews being collected.  This timeline may fluctuate depending on customer readiness and availability. 

2. Roles & Responsibilities 
  • Procurated: 
    • Provide onboarding and training  
    • Configure customer’s Canary instance 
    • Support data ingestion 
    • Support ongoing adoption for the duration of the agreement
  • Customer: 
    • Provide data 
    • Participate in training 
    • Monitor performance alerts and engage in vendor management as appropriate 
    • Execute communications to relevant parties such as: 
      • Procurement team 
      • Contract end users 
      • Suppliers
3. Implementation Phases 

Phase 1: Data Provision & Setup 

Customer to provide the following data which is required for the configuration of the Customer’s canary instance and for review collection purposes: 

  • Contracts 
  • Suppliers  
  • Supplier points of contact 
  • Purchase order data including: 
    • Purchase date 
    • Purchase description 
    • Contract 
    • Purchase amount 
    • Purchaser contact name, email and phone number 
    • Purchaser division/department 
    • Ship to/receiver contact name, email and phone number

Phase 2: Communications & Training

  • Training for procurement users
  • Communications to end users and suppliers
  • Templates and materials provided by Procurated 
  • Webinars for end users and suppliers (if desired)

Phase 3: Go-Live & Review Collection

  1. Finalize strategies for review collection methods 
  2. Landing page goes live 
  3. Agreed upon additional review outreach methods begin  

Phase 4: Monitoring & Supplier Engagement

  • Customer monitors alerts for performance issues as identified 
  • Customer engages with end users and suppliers as appropriate based on issues flagged by Canary 
  • Customer invites all supplier contacts to access their version of Canary 
  • Procurated hosts supplier training session via webinar (if desired) 
  • Customer begins to conduct supplier business reviews with performance data in Canary as a key element of the review (if desired) 
  • Customer uses data for decisions where appropriate 

Phase 5: Ongoing Support 

  • Customer will be assigned a Customer Success Manager 
  • Procurated will assist customer with any webinars for onboarding, training or announcing/spreading awareness of Procurated & Canary 
  • Procurated to schedule regular meetings with the customer 
  • Customer Success Manager available on demand as needed 
  • Procurated to schedule quarterly reviews with Customer 
  • Procurated to provide regular communications regarding new features and best practices available to the Customer. 
4. Timeline 

Typical implementation: ~8-12 weeks

  • Stakeholders are available when needed
